Terms & Conditions

These Terms and Conditions ("Agreement") govern your use of the Hearthlane website at hearthla.biz and any administrative service arrangement you enter into with Hearthlane. Please read them carefully. By using the website or engaging an arrangement, you confirm that you have read, understood and agreed to be bound by these terms.
1. Definitions
- "Hearthlane", "we", "us", "our" — the administrative support office operating from Jalan Maarof 118, 59100 Bangsar, Kuala Lumpur, Malaysia.
- "Client", "you", "your" — the individual or household that enquires about or engages a Hearthlane arrangement.
- "Arrangement" — any of the three service scopes offered by Hearthlane: Family Document Orientation Session, Records Assembly for Family Administrative Files, or Household Coordination Programme.
- "Service" — the informational, organisational and administrative document support provided by Hearthlane under an arrangement.
- "Content" — all text, documents, notes and materials on the Hearthlane website.
2. Acceptance of Terms
These terms apply to any person who uses the Hearthlane website or engages any arrangement. You must be at least 18 years of age and have the capacity to enter into a binding agreement. By submitting an enquiry form or confirming an arrangement in writing, you accept these terms.
3. Nature of the Service
Hearthlane provides informational, organisational and administrative document support only. We do not provide:
- Legal advice or legal representation of any kind
- Financial advice or financial planning
- Representation before any government body, court, tribunal or regulatory authority
- Any regulated professional service
Nothing in any Hearthlane communication, document or arrangement constitutes professional advice. Where a matter requires a licensed professional — a lawyer, accountant, commissioner for oaths, registered agent or other practitioner — we will identify this and name the type of firm to approach. We do not provide those services and do not accept responsibility for any outcome that depends on professional advice.
4. Arrangement Scope and Pricing
4.1 Scope
Each arrangement has a defined scope described on our solutions page. Work outside that scope is not included and must be agreed in writing before it begins.
4.2 Pricing
Prices are stated in Malaysian Ringgit (RM) and are inclusive of the services described for each arrangement. Third-party costs — translation fees, postage, document replacement fees payable to government offices — are not included in the arrangement price. These are discussed with the client before they arise and passed through at cost with no markup.
4.3 Payment
Payment terms are confirmed in the written agreement sent to the client before an arrangement begins. Payment is accepted by bank transfer to accounts stated in the written agreement. Full payment or an agreed deposit is required before work commences.
4.4 Refunds
Where an arrangement has not yet commenced, a full refund is available upon written request. Where an arrangement is underway, a partial refund reflecting work completed to date may be offered at Hearthlane's discretion. No refund is available for the Orientation Session once the meeting has taken place.
5. Client Responsibilities
- To provide accurate information about household documents and members when requested.
- To make documents available for review at agreed times and locations.
- To communicate changes in circumstances that may affect the arrangement promptly.
- To retain all original documents — Hearthlane works with copies unless a specific step requires handling an original, which is returned the same day.
- To engage a licensed professional for any matter that falls outside Hearthlane's scope.
6. Intellectual Property
All content on the Hearthlane website — text, layout, document templates and printed materials — is the intellectual property of Hearthlane. You are granted a limited, non-exclusive licence to access and use the website for personal, non-commercial purposes. You may not reproduce, distribute or republish content without written permission.
Document maps, folder structures, missing-items lists and other materials produced during an arrangement are prepared for your household's use. You retain full ownership of your own household documents at all times.
7. Confidentiality
We treat all information shared during an arrangement as confidential. We do not share household information with third parties except as necessary to deliver the arrangement (such as sharing document details with a registered translator you have approved) or as required by Malaysian law. Staff members are bound by confidentiality obligations.
8. Disclaimers
The service is provided as described in the arrangement scope. We make no representation that any document assembled or organised by Hearthlane will be accepted by any government body, court, professional firm or institution. Acceptance of documents is determined by the relevant authority, not by Hearthlane.
We do not represent that the information in any document we help organise is accurate, current or legally valid. Document accuracy is the responsibility of the issuing authority and the document holder.
9. Limitation of Liability
To the extent permitted by Malaysian law, Hearthlane's liability for any claim arising from an arrangement is limited to the amount paid by the client for that arrangement. We are not liable for indirect, consequential or special losses, including loss of income, loss of opportunity or decisions made in reliance on information in household documents.
10. Indemnification
You agree to indemnify Hearthlane against any claims, losses or expenses arising from your breach of these terms, misuse of the website, or any inaccurate information you provide during an arrangement.
11. Termination
Either party may terminate an arrangement in writing at any time. On termination, all documents belonging to the client will be returned or deleted as applicable. Hearthlane may terminate an arrangement without notice if a client provides false information, behaves abusively towards staff, or requests services outside Hearthlane's scope.
12. Dispute Resolution
These terms are governed by the laws of Malaysia. In the event of a dispute, the parties agree to attempt informal resolution first by contacting [email protected]. If informal resolution is not achieved within 30 days, disputes shall be referred to the courts of Malaysia with jurisdiction in Kuala Lumpur.
13. General Provisions
- Entire agreement: These terms, together with any written arrangement agreement, constitute the entire agreement between the parties.
- Severability: If any provision is found to be unenforceable, the remaining provisions remain in effect.
- Waiver: Failure to enforce any provision does not constitute a waiver of that provision.
- Assignment: You may not assign your rights or obligations under an arrangement without our written consent.
- Notices: Formal notices should be sent to [email protected] or by post to our registered address.
14. Changes to These Terms
We may update these terms from time to time. We will revise the "Last Updated" date above when we do. Continued use of the website or services after any change constitutes acceptance of the revised terms. For active arrangements, material changes will be communicated by email.
