These are not marketing claims — they are the practical conditions of how we work and what families can expect from the first conversation to the final handover.
Scope written down from day one
Before any work begins, we share a written note stating what we will do and what falls outside our scope. Families are never left to guess which matters we can help with.
No minimum commitment to enquire
An initial conversation carries no obligation. Families take as long as they need before deciding whether to proceed — there are no time-limited offers or pressure to commit.
Records in three languages handled in-house
Bahasa Malaysia, Mandarin and Tamil documents are handled directly. Other languages are coordinated with a registered translator at cost, no markup.
Physical and digital file together
Every records arrangement produces both a labelled physical folder and a mirrored digital copy, so family members can locate a document in either form without calling the office.
Named relatives can share the archive
In the coordination programme, the family chooses which relatives have access to the shared digital index. Information does not have to be repeated across different family members.
Handover leaves the family self-sufficient
Every arrangement closes with a handover that equips the family to maintain the file themselves. We do not structure our work to require returning for ongoing maintenance.

Specific experience in Malaysian household records
The team at Hearthlane has worked with household administrative records across the Malaysian context since 2019, including documents issued by JPN, the Ministry of Education, state land offices and overseas-issued records requiring coordination for use within Malaysia.
This is not general secretarial experience applied to family files. We understand which documents travel across which administrative systems, where gaps typically appear and what a missing-items list needs to say for a family to act on it.

Each arrangement follows a written method: a document map first, then an indexed physical folder and digital copy, then a missing-items list with specific steps, and finally a handover that leaves the family able to maintain the file.
This sequence does not skip the mapping stage to appear faster. Families who have spent time gathering documents in no particular order often find that a proper map at the start saves considerable effort later.

Each family works with one named staff member throughout the arrangement, not a rotation of different people. Meeting notes are shared after every session. Questions are responded to within one working day.
For the coordination programme, fortnightly contact sessions are structured — not dependent on the family remembering to follow up.

Prices are listed on the solutions page before a family makes any decision. Third-party costs — translation, postage, document replacement fees — are discussed before they arise and passed through at cost.
The three arrangements cover different scopes and durations, so families pay for what their situation actually requires rather than a catch-all package.

A printed visual map showing which documents belong to which family member, which office issued them and which ones are missing or need updating. Not a checklist — a map built around the actual household.
The shared printable checklist
Designed to be printed and given to several people in the family — a checklist with font-captions codes referencing the document index, so everyone is working from the same information.
The standing boundaries card
A card given to every family at first contact, naming in plain terms what Hearthlane does not do and which type of professional firm handles which matters. Updated whenever the scope of the arrangement changes.
The accompaniment visit
In the coordination programme, one visit per month where a staff member attends an appointment or meeting alongside a family member in a support capacity — not representing the family, but present to take notes and keep the administrative record accurate.
