Words from families we have worked with
Lee Wai Yin
Petaling Jaya, Selangor
My parents accumulated forty years of paperwork in three languages with no system at all. After the orientation session I finally understood what they held and what was missing. It was honest about what Hearthlane could and could not do, which I appreciated. The document map made sense to both me and my parents immediately.

We were preparing for my daughter's university application in Australia and needed a complete file of family documents. The five-week records assembly was methodical — the staff member was clear about what she needed from us before each meeting. I was also told plainly that the notarisation step required a commissioner for oaths, which Hearthlane does not provide but was able to name for us.

My siblings are in Kota Kinabalu and Singapore and we kept repeating information to each other whenever something came up about our parents' affairs. The coordination programme built an archive that all three of us can access. The fortnightly call with Nadia meant things actually moved rather than sitting on a list. Six months later we have a file that makes sense.

I was moving the family to Penang and needed to sort out documents spanning three different addresses and two of the children's school records. Chong helped us understand which documents had to be updated before the move and which ones would still be valid. The session was unhurried, and the written notes afterwards were useful to refer back to.

We needed a full records assembly before engaging a solicitor for an estate matter. Hearthlane was clear from the start that they handle the administrative organisation and the solicitor handles the legal side — they even prepared a summary of what was in the file so the solicitor could read it without us having to explain everything from scratch. That was the part that saved us the most time.

Our household has documents in English, Mandarin and Bahasa Malaysia going back to my husband's parents. I was concerned about the translation coordination but it was handled properly — the translations came back with the translator's stamp and were added to the indexed file. The digital copy has been useful to access when we need to check something quickly.

How It Worked
Three household situations in detail
Each family came to Hearthlane from a different starting point. These accounts describe what the work involved and what it produced.
Case Study 1
A retired couple whose papers spanned two states and three decades
The Situation
A couple in their seventies living in Bangsar had accumulated documents from their years in Johor, Sabah and Kuala Lumpur. The husband was uncertain whether his earliest birth certificate was in Bahasa Malaysia or English, and neither of them knew which documents were still valid.
The Work
An orientation session first, followed by the records assembly arrangement. Chong worked through the documents over five weeks, identifying which were valid, which had been superseded and which needed replacement. A Mandarin-language land document was coordinated for translation at cost.
The Outcome
An indexed file covering both of their records, with a missing-items list identifying two documents that needed updating at JPN. Their daughter, who manages their affairs from Singapore, was given a digital copy. The total time was eight weeks including the orientation session.
"We had no idea so much could be sorted in eight weeks. The file now lives in one drawer and the digital copy is on my daughter's phone. That is more than we managed in thirty years of collecting papers." — Mr Lim, Bangsar
Case Study 2
A family with members in three countries preparing for a property matter
The Situation
Three adult children — one in KL, one in Sydney, one in London — needed to gather their parents' documents before engaging a solicitor for a property matter. Every time one sibling found something, the other two had to be updated separately.
The Work
The household coordination programme over five months. A shared digital archive was set up with access given to all three children. The rolling task register tracked which documents had been found, which were outstanding and which steps were in progress. Nadia attended two appointments in KL as a support person and prepared briefing material for the solicitor.
The Outcome
A complete family file, a shared archive that all three children can access from wherever they are, and a briefing summary that the solicitor read before the first meeting. The siblings stopped having to repeat information to each other partway through month two.
"The accompaniment visit was the part I did not expect to value as much as I did. Having someone there who knew the file and could take accurate notes meant the meeting with the solicitor was much more efficient." — Ahmad, KL
Case Study 3
A working parent assembling records for a child's international school application
The Situation
A single parent in Petaling Jaya was preparing a school application requiring birth certificates, academic records, immunisation records and proof of address history — some dating back to a previous address in Penang.
The Work
Records assembly arrangement. The missing-items list was particularly relevant here — several school records needed to be requested directly from the Ministry of Education. Hearthlane identified which form was needed and where to submit it, but the submission was made by the parent directly.
The Outcome
A complete indexed file ready for the application, with attested copies of the key documents. The address history documentation was the most time-consuming element — it took three of the five weeks to resolve — but it was confirmed by the school admissions office as satisfactory.
"I could not have known on my own which specific form the Ministry of Education needed for the school records request. Having that information in the missing-items list saved me considerable back-and-forth." — Roshani, Bangsar
