How we approach household document work

Map first, organise second

Every arrangement begins with understanding what the household actually holds. We do not start filing until we know what is there, what is missing and what belongs in the file versus what belongs with a professional firm.

Built around the household, not a template

The folder structure, the index codes and the missing-items list are all specific to the family's documents. Families with simpler situations get simpler systems — not more complexity than they need.

Every arrangement closes with a handover

The work is structured so the family can maintain the file after Hearthlane's involvement ends. The handover is a condition of every arrangement, not an optional add-on.

Arrangement 1

Family Document Orientation Session

RM 520  ·  One two-hour meeting

A session that maps the household's administrative papers — naming each document, identifying which office issued it and marking which family members it concerns. Designed for households where documents have accumulated across marriages, moves and children's school years without any system to hold them together.

This arrangement covers one two-hour meeting. It is not a substitute for organising the full file, but it tells the family exactly where they stand and what they would need to do next if they want to go further.

Included:

  • Printed document map specific to the household
  • Labelled folder structure proposal
  • Short list of items worth replacing while straightforward to obtain
  • Written note on which matters belong with an independent professional firm
  • Standing boundaries card naming what we do and do not do

How the session runs:

Arrangement 2

Records Assembly for Family Administrative Files

RM 1,610  ·  Five weeks, three meetings

Organisational work building a complete family file from birth records, marriage records, identity documents, school records and address histories, with attested copies obtained where an office will need them. Suited to families preparing for a move, a school application abroad or the settling of shared household matters.

Scope runs five weeks with three meetings. At the close, the family holds an indexed physical folder and a mirrored digital copy — and a missing-items list with specific request steps for anything still outstanding.

Included:

Household Coordination Programme

An extended programme for families managing several administrative processes at once across more than one city. Covers document gathering, appointment scheduling, a shared family index accessible to named relatives, meeting notes after every appointment and preparation of briefing material for any professional firm the family engages.

Aimed at households where relatives are dispersed and administrative information keeps being repeated to different people. The scope runs four to six months with fortnightly contact and one accompaniment visit per month.

Included:

  • Shared digital archive accessible to named relatives
  • Rolling task register updated after each contact session
  • One accompaniment visit per month as a support person
  • Translation coordination throughout the programme
  • Briefing material prepared for professional firms the family engages
  • Closing handover leaving the family able to maintain the file independently

Document privacy

Records handled only by the assigned staff member. Digital copies deleted at arrangement close. Storage systems agreed with the family.

Written notes every session

Meeting notes prepared and shared with the family after every session, so the record is built on agreed-upon notes rather than memory.

Clear scope — no overlap

We name plainly what we do not do. Matters belonging with a lawyer, accountant or government-registered agent are identified and referred, not handled.

Copies, not originals

We work with certified or attested copies wherever an office will accept them. Originals, if handled, are returned the same day.

Third-party costs at cost

Translation, postage and document replacement fees are discussed before they arise and passed through at cost with no markup.

No-commission referrals

When we refer a family to a professional firm, we name the type of firm and the nature of the matter. We receive no fees or commissions from any third party.
